Sequence follows demolition, not convenience
Buildings scheduled for demolition or aggressive mitigation are inventoried first, because their contents have a deadline. Structures that are secure and stable can wait. That ordering frequently conflicts with what the insured wants, since the building they most want back in service is the one they want cleared first. Establishing sequence at the outset — and recording why — prevents the situation where contents are discarded before documentation, which cannot be remedied afterwards at any price.
One numbering scheme across every consultant
Item numbers carry the building, the area and the sequence, so any line on the schedule locates itself without reference to a separate key. Consultants working different buildings cannot generate colliding numbers, and photographs carry the same reference as the item record. This sounds administrative and is in fact the difference between a schedule that reconciles and one that does not: without it, two consultants produce item 41 in the same week and the merge introduces errors nobody can later trace.
Field conventions agreed before capture starts
The conventions that matter are the boring ones. Where does lot-level capture replace item-level capture, and at what threshold. How is a partial pallet recorded. What counts as cleanable rather than repairable. How are items found outside their normal location handled. Agreeing these in advance is what makes eight consultants produce one consistent record. Deciding them individually in the field produces eight internally consistent records that disagree with each other, and the disagreement surfaces at reporting, when it is expensive.
Daily reconciliation rather than a single merge
Capture is reconciled as it accumulates: counts against the pack-out list, item records against photography, and areas covered against the site plan. Reconciling daily surfaces a divergence while the building is still accessible and the consultant who recorded it is still on site. Leaving reconciliation to the end produces a list of queries about buildings that have since been demolished. It also means partial reporting is possible mid-assignment, which matters on losses where the carrier needs an early indication of magnitude.
One reporting process at the end of it
However many buildings and consultants the assignment involves, the carrier receives one organized inventory and reporting package: the item record, supporting photography, condition grading, valuation research and salvage evaluation, reconciled across the whole site.
