The assignment
A weather event damaged buildings across a large public school district. Several campuses were affected to different degrees, a restoration contractor was already mobilizing, and the district needed usable classrooms before the start of the academic year. US Claims Solutions was engaged to inspect, inventory and value business personal property across the affected facilities, and to evaluate salvage in the same pass.
What made it difficult
Each campus had its own access window, its own key holder and its own place in the demolition and drying schedule. Working district-wide would have meant repeated trips to buildings that were not ready; working campus by campus meant the record had to stay consistent across a distributed crew over several weeks. Field conventions — item naming, condition vocabulary, location referencing, photograph protocol — were fixed before anyone deployed, and everything routed through a single reconciliation point.
What was recorded
Classroom contents and consumable stock held in quantity. Library collections. Band, orchestra and athletics equipment. Career and technical education shop machinery, including welders, lathes and woodworking equipment with nameplates photographed. Commercial kitchen equipment at each campus. IT hardware down to model and asset tag where the tag survived. Stored seasonal property in spaces that were not on the original building list and were found by walking the buildings rather than by reading the schedule.
Outcome
The district received one reconcilable inventory rather than several, with every line tied to a photograph, a location and an identification. The categories that drove the final figure were the ones that are easy to walk past: consumable classroom stock, CTE equipment with real replacement cost and no resale market, and the stored property that was not on anyone’s list. Recoverable shop machinery and kitchen equipment were marketed to buyers who deal in those categories rather than written off.
